Challenge

Guymer King is a small UK accountancy practice, handling accounts, tax returns, VAT, payroll and Companies House work for around 300 clients with a team of four. Before Workiro, the firm ran Virtual Cabinet, hosted by Iris - used, in Managing Director David King's own words, as "very vanilla": a filing cabinet and little more. The hosting was expensive, and the day-to-day carried small frictions the team had learned to live with.

Key challenges included:

❌ Portal logins clients could never remember: Every year, roughly a third of clients forgot the login to the old portal - and each one came back to the firm to sort out, not the client. Ollie Brook noted:

"Around 30% of people would forget their login every year, and it would come back to us to deal with which wasted valuable time."

Founder David King put it more bluntly:

"Had I a fiver for every time one of my clients goes, 'Oh, I can't remember my login" I'd be a very wealthy man!"

❌ Email clutter - one entry per message: Every email in a thread filed as its own separate record, so a single client conversation became six or seven pages to wade through.

❌ A client list that had grown unwieldy: Years of inactive clients and unlinked individuals had built up on the system, making the list slow to work through and harder to keep clean.

Multiplied across ~300 clients and a frenetic self-assessment season, these frictions quietly taxed the team's time - and the client experience.

Solution

Guymer King moved to Workiro, the cloud successor to Virtual Cabinet - keeping the filing-cabinet simplicity the team relied on, while removing the friction around it. The migration itself was a non-event, which was exactly the point. Managing Director David put it best when he said:

"The nicest thing about it is I don't really remember much about it, it just happened!

With Workiro in the cloud, the team works the same way from anywhere, and documents move from preparation to client signature in one continuous flow - no printing, no re-filing, no switching systems.

Key features that made the difference

⚡  No-login client signing: Clients sign accounts, tax returns and Companies House forms straight from an email link - no portal account to set up, no password to forget.

"They don't have to sign into anything. They can just click on the link and sign it. And we have found that that is a lot less friction than it was before," says Ollie.

⚡ Automatic filing, no duplicates: Once a document is signed, it files itself and updates to "signed" automatically.

"When a client signs, it automatically saves back to the client file - and it doesn't make a duplicate file, it just updates the existing one which is great."

⚡ Whole-conversation email capture: One tick captures an entire email thread, so every reply files itself automatically.

"It actually tracks the whole conversation, the whole thread. Every time you receive an email in that thread, you don't have to re-save it - it's all there automatically."
"Individual attachments can be saved as separate files too: I like thay feature a lot."

⚡ The hot folder: Print to PDF, drop it in, and Workiro picks it up for filing - Ollie's "favourite thing about Workiro."

⚡ IRIS integration: When Workiro is connected to the firm's practice-management system, a new client is created in Workiro automatically.

"It's really useful - when we create a new client in IRIS, it automatically goes into Workiro. It saves a good 10 minutes per client, not having to do that set up."

⚡ Filing that flexes to how people work: Search by date, tag or client code - everyone works how they work best. Ollie files by date; his colleague Charlotte works by tag; all of it is searchable in seconds.

⚡ Access control built for a regulated firm: Confidentiality groups keep the director's personal files and sensitive clients visible only to the right people - important for a practice handling confidential client and partner data.

Results

Since switching, Workiro has become the firm's default - "it's my first port of call," as Ollie puts it.

🟢 Login friction gone: The ~30% of clients who used to forget their login every year now sign straight from a secure email link. The chasing, the resending, and support calls that came with it have simply disappeared.

🟢 Everything in one searchable place: Ollie has driven a push to paperless. When a client rings or a deadline query lands, the right document is there in seconds.

"Anything that's physical is also in Workiro, so you don't have to go around looking for it - which saves a lot of time."

🟢 Less admin on every client The IRIS integration alone saves around 10 minutes per new client, and whole-thread email capture removes the manual re-saving that used to leave conversations in "dribs and drabs."

🟢 A dependable system a small team can trust Across a busy season and ~300 clients, Workiro "always works" - letting four people carry a client base that would stretch many firms twice their size.

"It just works. It's dependable, reliable, and it saves time."

Asked what he'd say to another practice still on an old hosted system, Ollie didn't hesitate:

"I genuinely can't think of any fundamental issue I'd say no to Workiro for. And I can't say the same for other business software we've used in the past 18 months."
